Privacy and data handling for Help Me GxP Resource Hub

Help Me GxP Resource Hub is a web-based GMP guidance and reference platform provided as a practical resource hub for pharmaceutical and healthcare users.

For normal public browsing, we do not ask most users to create an account or submit personal profile information.

If you choose to submit an issue report, suggestion, or metadata correction, we may collect the information you provide, including your title, description, related link, resource reference, and optional contact email address.

When you submit a search to Find Me GxP, the search wording, selected Knowledge Pack, submission time, and retrieval outcome are retained so authorised administrators can understand common topics and improve the service. These records are not linked to a named user profile or raw IP address.

Where private site access or admin-only areas are used, the platform may also process essential authentication or access-control information such as secure cookies or access credentials.

Where My Library is available, you can choose to sign in with Google or Microsoft to save a personal Quick Links collection. The public GxP knowledge tools remain available without signing in.

Your chosen provider supplies an account identifier and name so we can recognise your account. Google also supplies a verified email address; Microsoft may supply an email address for display. We do not match or combine accounts by email. We store these details with the titles, website addresses and order of the Quick Links you choose to save. We do not receive or store your Google or Microsoft password.

Your profile, Quick Links and saved homepage layout are stored in the platform's database and used to provide your personal collection and chosen section order and visibility across devices. Saved Quick Links are available through your signed-in account and are not added to public search results or usage analytics. Opening a saved external link takes you to that website, where its own privacy policy applies.

If you select Keep me signed in on this device, your app session has no fixed expiry and an essential secure cookie is renewed when you use the app. Signing out ends the current app session; clearing browser data removes access from that browser. Your browser can also expire or remove the cookie, including after a long period of inactivity, so staying signed in permanently cannot be guaranteed. Otherwise the cookie lasts for the browser session, with a maximum sign-in lifetime of 12 hours; browser session restore may retain session cookies. Short-lived sign-in records and temporary rate-limit identifiers help protect the sign-in process; expired records are cleared when subsequent sign-ins are started.

You can remove individual Quick Links, restore the default homepage layout or choose Delete my account in My Library. Confirming account deletion removes your public account profile, saved Quick Links, homepage layout and all associated public sign-in sessions from the application database. It does not delete your Google or Microsoft account or separate training or administrator records. You can also contact info@helpmegmp.com with questions about your account information.

We use submitted issue and suggestion information to review problems, improve the platform, and respond where appropriate.

Find Me GxP search wording is used to analyse common searches, identify retrieval gaps, and improve approved-source discovery. Do not include personal, patient, client-confidential, or commercially sensitive information in a search.

Optional contact details are only used so we can follow up about a report, suggestion, or operational support matter.

Technical and access-related information may also be processed to protect the platform, maintain availability, and support secure administration.

The platform records limited, first-party usage totals such as page views, link and card interactions, sponsor-link interactions, and successful web app installation events. We use these totals to understand which resources are useful and to monitor the performance of the platform.

Daily visitor estimates use a one-way, date-specific hash generated from limited request information. Raw IP addresses and full browser identifiers are not stored in the analytics tables, and the daily hash is not used to identify users across different days.

Aggregate site analytics do not contain the contents of searches or forms. Find Me GxP search wording is retained separately in the private administration area for search-volume and topic analysis, without a named user profile or raw IP address.

The platform may use third-party services that support hosting, database storage, and operational email delivery. These services process data only as needed to keep the platform running and to deliver support notifications.

The site also links to third-party websites and platforms including official GMP sources, YouTube, Spotify, Amazon, and external reference sites. Once you leave Help Me GxP, those services apply their own privacy policies and terms.

The public resource hub is designed to work without forcing most users to sign in. However, essential cookies may be used where needed for private site access, administration, or secure operational features.

If you install the site as an app on a phone, tablet, or desktop browser, the installed version still uses the same underlying web platform and privacy behaviour as the main site.

Issue reports, suggestions, and related operational records may be retained for platform maintenance, audit, and support purposes.

Find Me GxP search wording is retained for up to 365 days for trend analysis, retrieval improvement, and service evaluation. After that period, the wording is automatically removed while non-identifying aggregate operational records may be retained.

We only aim to keep personal information for as long as it is reasonably needed for those operational purposes, legal obligations, or security review.
